Setup POP or IMAP email account - Outlook 2016

How to set up a POP / IMAP email account in Microsoft Outlook 2016

POP vs. IMAP settings

Some email software requires you to choose between POP/POP3 and IMAP protocol settings. As a rule of thumb, you should always choose IMAP if you're planning to set up your email address on multiple devices (e.g. home computer, iPad and a smartphone). This ensures that all of your devices will get a copy of every email you receive.

A computer or device using POP protocol for an email account will often download emails from the mail server and then not leave a copy for other emails to download. For example, this means that once an email is downloaded to your desktop computer, you can't download another copy on your smartphone.

Automatic Account Setup

The first time you run Outlook 2016, you’ll see a welcome screen that looks like this:

Click Next to get started.

If you’ve previously configured Outlook 2016, click the File tab at the top of the window and in the Info category, click the Add Account button.

In the Add an Email Account wizard displayed, you’ll be asked Do you want to set up Outlook to connect to an email account?

Ensure the radio button next to Yes is selected, then click Next.

In Auto Account Setup panel, enter the following details:

  1. Your Name: Enter the name you’d like to appear on your emails.
  2. Email Address: Your full email address.
  3. Password: Your email account password.
  4. Retype Password: Enter your email account password again.

Click Next. Outlook will now attempt to retrieve your email server details and set up account access.

Manual Setup

If your server cannot be found, check that the email address you entered is correct and try again. You can enter your server details manually by selecting Manual setup or additional server types. Then, click Next.

Outlook 2016 supports standard POP3/IMAP email accounts, Microsoft Exchange or Office 365 accounts, as well as webmail accounts from a range of providers including Outlook.com, Hotmail, iCloud, Gmail, Yahoo and more.

For Telstra / Bigpond email services, select POP or IMAP.

Manually Set Up POP3 or IMAP Email Accounts

Once you have clicked the radio button next to POP or IMAP, select Next to proceed with your email account configuration.

You will need your email server details, username and password details.

Enter the following details:

Your Name: Enter the sender’s name you’d like to appear on your emails.
Email Address: Your full email address.
Account Type: Use the dropdown menu to select POP3 or IMAP.
Incoming mail server: For POP or IMAP accounts use mail.papamail.net

What is the difference between IMAP & POP?

IMAP and POP are two different protocols (methods) used to access email. Of the two, IMAP is the recommended option when you need to check your emails from multiple devices as IMAP always syncs with Telstra email servers.

Please note, IMAP is only available for customers using the new Telstra Mail platform

A good example of the difference is when you read your emails. If you’re using IMAP and mark an email as “read”, it also gets marked as read in all of your other inboxes. This won’t happen with POP as emails are downloaded to your specific computer or device and any changes you make on that device won’t be reflected in the Telstra servers and across other devices or computers.

If you’re switching from using POP to IMAP you’ll need to be mindful that any folders set up with POP will be lost when you change to IMAP. To keep these folders, please refer to this link.
